VA – Customer Service Assistant, CRM Management – Graphic Designer

Job Summary:

We are looking for a Virtual Assistant (VA) to join our team and support our customer service and CRM management efforts. As a VA, you will play a vital role in ensuring effective communication with our customers and maintaining accurate data in our CRM system. Your primary responsibilities will include making phone calls to customers, managing data in the CRM, and providing general administrative support.

Responsibilities:
– Make outbound phone calls to customers to provide support, answer inquiries, and address any concerns.
– Update customer information, interactions, and feedback in the CRM system.
– Ensure accurate and timely data entry in the CRM, including new customer accounts, contact details, and notes.
– Monitor and manage customer inquiries and requests via email, chat, or other communication channels.
– Assist in organizing and maintaining customer records, documents, and files.
– Collaborate with team members to resolve customer issues and provide exceptional service.
– Generate reports and analyze data from the CRM system to identify trends and opportunities for improvement.
– Provide general administrative support, including scheduling appointments, managing calendars, and organizing meetings.
– Assist in the development and implementation of customer service strategies and initiatives.
– Stay updated on product knowledge and industry trends to effectively address customer inquiries.

Requirements:
– Proven experience as a Virtual Assistant or in a similar customer service role.
– Excellent verbal and written communication skills.
– Proficient in using CRM software and other office productivity tools.
– Strong organizational and multitasking abilities.
– Attention to detail and accuracy in data entry and record keeping.
– Ability to work independently and prioritize tasks effectively.
– Strong problem-solving and decision-making skills.
– Knowledge of customer service principles and practices.
– Ability to maintain confidentiality and handle sensitive customer information.
– Availability to work flexible hours, including evenings and weekends if required.
