Vapi.ai with backend setup – Affiliate Marketer Job

This project will use vapi.ai as a Virtual Receptionist (call center), enhance internal office communications, and deploy a versatile chatbot or web voice, vapi’s phone app, all designed to boost efficiency and customer engagement.
Goals and Objectives:
1. Virtual Receptionist (call center):
• Call Acceptance and Authentication: Efficiently accept calls, verify caller identity against the CRM database, and update contact information if necessary.
• Dynamic Call Routing:
• Direct emergency situations, vendors and clients to the front desk immediately.
• Unauthenticated users provide general information.
• Address general inquiries with database-driven responses. If unresolved, initiate a service request and inform the caller about expected response times under the "Communication Rule".
• Inform callers of their account balance, process payment authorizations, and schedule payments.
• Provide requested documents and direct users to the library for further resources.
• Manage and update service requests based on the conversation, providing a summary to the caller.
• Specific inquiries, such as condo papers, are forwarded to the accounting technician.
• Summarize the call's outcome and provide Condo Control platform usage instructions via email.
• Special Routing:
• Immediately connect board members with the front desk.
• Guide vendors on payment queries through invoicing platform FAQ’s and email.
• Advise realtors to use platform#1 for document requests and inform them about the order processing timeline.
2. Internal Office Communications:
• Streamline internal processes for sending collection file requests and reminders for welcome package and PAD form submissions via Virtual Receptionist or SMS chatbot.
• Communicate the status of previous submissions, facilitate the resending of welcome packages, and clarify any associated costs.
• Handle payment authorizations and distribute PAD forms.
• Set up and manage reminders for appointments and community events.
3. Chatbot on Webpage and SMS Chat:
• Develop a chatbot and vapi’s phone app capable of performing the same tasks as the virtual receptionist, accessible via both the company webpage and SMS.
• Ensure the chatbot can handle inquiries, process service requests and payments, and provide general assistance and document retrieval.
4. Reporting and Analytics:
• Create an analytics dashboard to monitor and analyze interactions by building, caller, unit, and the nature of the call.
Criteria for Developer Selection:
• Proven vapi.ai and API integration expertise.
• Experience with CRM systems, payment processing, and secure development.
• Portfolio of successful similar projects.

OTHER:
Request #2: With vapi create a voice app that will connect to the same databases as the voice ai and chatbots (internal/external).
Request #3: create a plug-in Outlook 365 that allows the ability to send an email to our platform to create a service request or to update an existing task.
