About the Role
We are looking for a dynamic and proactive Executive Administrative Assistant to provide comprehensive support to our CEO, as well as handling various administrative tasks. This multifaceted role demands exceptional organizational skills, keen attention to detail, and the ability to manage a diverse range of responsibilities efficiently and professionally. The ideal candidate will thrive in a fast-paced environment and possess strong communication skills to engage effectively with both internal and external stakeholders

Responsibilities:
Your responsibilities will include but are not limited to:
– Provide high-level administrative support to the CEO, managing calendars, scheduling meetings, and prioritizing appointments.
– Arrange complex travel itineraries, including flights, accommodations, and ground transportation, ensuring seamless logistics for the CEO and the company.
– Coordinate and organize meetings, conferences, and events attended by the CEO, including agenda preparation, and follow-up tasks.
– Prepare presentations, documents, and reports for the CEO, ensuring accuracy, clarity, and adherence to corporate standards and brand guidelines.
– Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of the role.
– Build and maintain positive relationships with internal and external stakeholders, representing the CEO professionally in all interactions.
– Serve as the primary point of contact for the CEO, screening and managing phone calls, emails, and correspondence.
– Skilled in taking meeting minutes and diligently following up on actionable items, ensuring effective communication and task completion.
– Provide strategic assistance to the CEO, conducting research, gathering data, and preparing materials to support decision-making and business initiatives.
– Assist in the coordination and execution of special projects and initiatives, collaborating with cross-functional teams as needed.

Requirements:
– A minimum of 3 years of proven experience as an executive administrative assistant or in a similar role, supporting C-level executives, preferably in the USA.
– Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
– Strong verbal and written communication skills, with professional and courteous behavior.
– Proficiency in Google Suite and other relevant software applications. (Notion and ClickUp experience a must)
– Ability to anticipate needs, exercise sound judgment, and work independently with minimal supervision.
– Discretion and confidentiality in handling sensitive information and company matters.
– Must excel in a fast-paced startup environment, demonstrating resilience and adaptability under pressure.
– Proficiency in English, at either a native or advanced level, is required.
– Preferred location: Latin America & Caribbean
– Availability required from 9am-6pm EDT/EST
